BOOKINGS AND PAYMENTS
It is best that you use one of the ‘check availability now’ buttons to be found on our website but if this is not possible, please telephone on +447817439421 or email - Tyfamauretreats@gmail.com to check availability and make a booking.
The information and prices shown on our website may have changed by the time you come to make your booking. Although we make every possible effort to ensure the accuracy of the website information and prices at the time of viewing, errors do occasionally occur and from time to time we change the specification of units of accommodation and our pricing. You must therefore ensure you check the price and all other details of your chosen booking with us at the time of booking.
When you submit a booking via our online booking system you will receive an automated booking summary by email to the email address you provide when booking. You should check this carefully to ensure that it is an accurate summary of your order.
Children under 18 must be accompanied and supervised by a responsible adult member of your party at all times and in all locations within the Site.
If you have any special requests (for example cots, high chairs, etc), please let us know at the time of booking. We will do everything we can to meet your requests but unfortunately we cannot guarantee that they will be met.
Except by prior arrangement confirmed in writing, only the number of persons specified in an order confirmation may occupy a unit of accommodation. We reserve the right to refuse admittance or revoke a booking if this condition is not observed and such failure to observe shall be considered to be a cancellation of your booking with the financial consequences.
A deposit of 50% will be required at the time of booking. This deposit is non-refundable. For last minute bookings payment is to be received, in full.
Payment in full (including the damage deposit) will be required 14 days before arrival.
You are advised to take out appropriate travel insurance to cover any cancellations (due to weather/illness etc.) made by yourself & for any other needs.
In the event that the UK/Welsh Government should impose any further Covid-19 travel restrictions any monies paid are not refundable. We will transfer your stay to suitable alternative dates or issue a credit note to be used within one year of your original stay.
A damage deposit of £200 is required when the remainder of your balance is due. This will be returned within 7 days of your departure (minus any breakages or damage costs) once the accommodation/facilities have been checked. We will advise you within 7 days after such departure of any loss or damage we have identified, and the amount we shall claim from you.
We accept online payment via Stripe, by credit or debit card in each case issued by a UK domiciled clearing bank, or BACS transfer, but we do not accept payment by American Express.
Payment in full (including the damage deposit) will be required 2 weeks before arrival.
CANCELLATION, AMENDMENT AND CHARGES
Any cancellation or amendment request must be sent to us by email tyfamauretreats@gmail.com and will be considered and responded to within two working days of receipt. You are also advised to confirm all changes by phone on +44 7817439421. Please ensure that you have received written confirmation of any changes to your booking prior to travel. Whilst we will always try to accommodate
your request for an amendment, we cannot guarantee that such requests will be met. We will endeavour to re-rent out your accommodation. If successful, an administration fee of £25 will apply.
Less than 14 days prior to arrival date – 100% of full cost
Between 14 – 60 days prior to arrival – 50% of full cost
If you are cancelling your booking because you are unable to attend during the dates of your booking, but would like to make a booking for different dates, we will try to accommodate your request but cannot guarantee that such request will be met.
You are advised to take out appropriate travel insurance to cover any cancellations (due to weather/illness etc.) made by yourself and for any other needs.
In the event of a no show or booking reduction (on or after arrival date) the full cost of the booking is charged.
In the unlikely event that we have no alternative but to cancel your booking, a full refund will be offered – or alternative dates if suitable and available, however, if you request us to do so we will make every reasonable effort to find alternative accommodation of a similar nature and price.
WHAT IS INCLUDED WITH THE LODGES
A description of what is included with the accommodation can be found on our website page at: https://www.tyfamaugeolodges.com and a list of what you need to bring. Be sure to contact us in advance of your stay if you have any questions at all about what to expect.
Before you arrive, the accommodation will be thoroughly cleaned and all it's contents will be in order. Beds will have clean bed linen. During your stay, we do not provide any housekeeping services, such as washing up, bed stripping or making, the tent equivalent of room service and cleaning, and moving rubbish to the central bin area.
Due to COVID-19 we need to protect staff and guests so at the end of your stay you must ensure that:

The accommodation and it's contents are left in a tidy condition and the bedding is stripped from the beds. Pleace all covers and protectors into the laundry bags provided and leave the pillows and duvets on top of the beds.

All rubbish and refuse in and around the accommodation is placed in the bins provided then emptied in the relevant bins near the car park. Please remove all foods/drinks from the fridge and cupboards.

All dishes, crockery and utensils are properly washed up and returned to their cupboards and drawers.
ARRIVALS AND DEPARTURES
Check in is from 4pm – 8pm, please contact us in advance if these times are not suitable we will do our best to accommodate you. This may not be possible during busy seasons.
On arrival, please park in the car park by the ‘P’ signs and load your luggage into the wheelbarrows provided. Wheelbarrows will have the name of your lodge on them so please use only these.
Follow the signs or pathway to locate your lodge. If you are unsure there will be a greeted message outside the lodge with your names! We have solar lighting marking the path but bring a torch as it is can be uneven under foot.
When you have found your lodge, unpack and make yourself at home. Please read the information pack emailed to you before your arrival, explore the site or make a paned (cuppa). If you have any questions then please don't hesitate to contact me on my mobile or email.
Check out is strictly 10.30am. Please ensure this is adhered to as we need the hours to ensure the lodges are thoroughly cleaned for our next set of guests. Please settle any outstanding balances before you leave. Please ask if a late check out is available . We do charge a fee of £20 and will accommodate if possible.
SAFEGUARDING
Guests must comply with up to date government guidelines and law regarding COVID-19, social distancing, same household or bubble. Do not enter Ty Famau Geo Lodges premises if you have any signs and symptoms of COVID-19 or have been in contact with someone recently who has it. If you become unwell during your stay you must inform us and leave the property immediately and self isolate at your own property.
Deep cleaning of lodges are undertaken between each guest, fogging and disinfecting with antiviral/bacterial products of all areas.
Hand sanitisers are available on site.
No more than your stated occupants are permitted to stay in the accommodations. If this is not adhered to, we reserve the right to ask you to leave and forfeit the remainder of your payment.
There is a carbon monoxide alarm, smoke detector, fire extinguisher, fire blanket in the accommodation, and a sand bucket in the log store. First Aid box near the shed, in the blue cupboard. Please ensure children do not touch these and let us know if there is a problem with them or the batteries need replacing.
Smoking or vaping is not permitted in the accommodations or any of the communal areas. Please dispose of cigarette butts in the metal buckets provided. If guests have smoked in any buildings on our site, we reserve the right to charge for additional cleaning to eliminate the smell of smoke.
Campfires and stoves should be kept small and manageable and can only be lit in designated areas – wood burning stoves inside the accommodation, the hot tub stove and the fire pit in front of the accommodation. Please use with extreme caution.
A generous amount of kindling and wood is provided and this can be found in the wood store on the edge of the decking. Additional wood can be purchased during your stay for £10 a crate.
The lighting of fires can be dangerous and extreme caution must be exercised at all times, we cannot accept liability for injuries caused by the building of or lighting of a fire. It is important you read our wood burner and fire safety instructions which you will receive via email before your arrival:
no open flames anywhere on site, apart from in fire pits.
In the unlikely event that a fire becomes out of control due to negligence and a fire extinguisher is used a £200 clear up fee will be charged. Damage to property in the event of a fire will be charged at cost. Fire guards are available for the stoves inside the accommodation.
The Shed on site next to the path, the lawn outside our home, and the forest area and field are all private so please no exploring!
The field in front of the lodges (separately fenced off) contains animals (cows or sheep) that do not belong to Ty Famau Geo Lodges. Please ensure they are not fed.
If you bring electronics or hair appliances then please ensure they are all SWITCHED OFF and the plug removed from the sockets when they are not in use as there is a high risk they could catch fire. No charging of devices over night.
In the case of an emergency, fault or problem guests must allow the owners access to the accommodation if necessary.
We cannot accept responsibility for loss or damage to personal possessions or vehicles.
Although the site is fenced guests must take full responsibility for any children in their group and do not leave them unattended at any time.
Please be aware that whilst Ty Famau Geo Lodges has lawned areas, it is also a lovely, natural site situated in the countryside, therefore we do have stinging nettles, thistles, muddy patches, brambles, insects, including midges, and a river (which is fenced off) so please ensure children are supervised by an adult at all times. Please be careful of your footing over fallen branches, uneven surfaces, edges of decks and watch out on wooden surfaces as they can be slippery when wet or frozen and take care wandering around at night.
Every effort has been made to ensure guests safety but we cannot accept responsibility for any accidental injuries.
WOOD FIRED HOT TUB: As the lead guest you are accepting acknowledgement and disclaimer on behalf of each member of your party and will ensure each member of your party is aware of and strictly adheres to the guidelines set out below when using the hot tub.

Any children in your care or associated with your party are supervised at all times when they are in the vicinity of the hot tub. Due to hot surfaces, real fires and chimneys.

No child under the age of 5 is permitted to enter the Hot tub.

Extra caution needed due to the natural, un regulated way the water is heated. Use the thermometer before entering. A cold water hose is available next to the water tap. Recommended temperature 37.5 degrees.

No use of drugs, alcohol and some medications before or during the use of the hot tub as this may lead to unconsciousness with the possibility of drowning and fatal hyperthermia.

Glass items are prohibited.

No member of the party with medical issues to use the hot tub unless they have seek medical advice.

No member to use the hot tub if they have infectious disease or open wounds.
-
Use the gauntlets provided when adding wood to the wood burner.
-
Please shower before and after entering the hot tub.

Do not add any products to the water - soap, bubble bath, shampoo, oils etc.
-
Please replace the lid after use and secure with the straps provided. The lid will need 2 people to carry and position on the designated stand provided.

Do not release water from woodfired hot tub during your stay.
-
Ty Famau Retreats ltd reserve the right to charge a cleaning fee of £50 for any Hot tubs that need water replacing during your stay due to non-showering, drink, food and other debris.

The hot tub will need emptying, cleaning and re-filling during longer stays, this will be agreed with you before your stay. We ask you kindly to allow us 4 hours (approximately) to undertake this task and would requests that guests stay away from the area whilst its being cleaned.

The hot tub will be monitored daily by the owner.
Weather conditions: the hot tub may not be available during extreme or adverse weather conditions, no discount will be available.
All member of your party accept and acknowledge that risks and injury may be caused or increased by your own acts, omissions, negligence, or failure to follow any guidelines provided by Ty Famau Retreats ltd shall not be liable in such circumstances. You are held responsible and incur charges for the full damage to the Hot Tub and or Lid which occurs during your stay.
Ty Famau Retreats Ltd accepts no responsibility for any direct or indirect loss, damage or injury suffered or incurred by any person using the Hot Tub.
By placing a booking you agree to be bound by these terms and conditions.
THE SITE
In addition to Ty Famau Geo Lodges being a natural site, we do have farms nearby, and so the usual farm noises can be heard from time to time.
Unfortunately dogs and other animals are prohibited at present. For those with guide dogs please contact us directly to discuss.
No cars/motorbikes by the lodges. All cars must be parked in the designated area.
Maximum of 2 cars per lodge due to limited parking.
If you have brought cycling bikes with you please do not cycle next to the lodge, please stay on the grass away from the lodges and trees.
Please recycle and look after our planet. We have 3 bins on site by the car park please empty your rubbish in the appropriate bin - black (general waste), blue (plastics and recycling materials) orange (food bin). We can help with bags, as well as advice on how to do it.
During your stay, guests maybe checking in/out on different days therefore staff may be onsite cleaning the other lodges. You may hear some hoovering/pressure washing or fogging noise this will only be done during 10.30am-3pm and we apologise for the minimal noise.
Fireworks and Sky lanterns are not allowed as they pose a risk of fire and are a danger to livestock.
Wildlife: Our properties are situated in a beautiful rural area. Please therefore expect to meet some wildlife, including spiders, mice, birds, flies, bees, wasps or other creatures, which may make their way into a property unbeknownst to the owner. If this likely to be a problem, it would be best not to book. If any of these creatures are encountered, do not panic, but contact the us in a calm and reasonable way (but only if the creatures become serious menace). Otherwise, just open the a window or a door and let them out, as this is usually what they prefer.
NOISE AND DAMAGE
In the interest of other guests, please ensure that no one in your party does anything to cause a nuisance to other guests or our neighbours!
Strictly no amplified music please. All noise to a minimum after 10pm especially if there are families with children staying too. Noise travels in the countryside and you may be surprised how much can be heard!
If you are looking for somewhere to party into the early hours Ty Famau Geo Lodges is NOT the right place for you.
Communal areas to be kept clean and tidy at all times.
If unreasonably noisy or unruly behaviour is brought to our notice, we reserve the right to ask you to leave and forfeit the remainder of your payment.
The accommodations, their furnishings and equipment will be handed over to you clean and in good order and should be in similarly clean and in good order when you leave.
Please DO NOT move any furniture, they have been positioned as you find them to make the best use of space it can damage them and also our flooring.
If you've recently dyed your hair or wear fake tan please bring your own bedding to avoid bedding being permanently stained
Please take off outdoor footwear in the domes, there is a welly/boot holder outside the lodge and shoe rack on entering the door way. We like to leave the outdoors outside and try to keep things as nice as possible for all guests staying in our accommodation.
Should any breakages or damage occur, please let us know (we don’t charge for small items but will look to you to replace certain items and/or repair damage). The accommodations are lockable with a key, if the key is lost we will charge you £10 to replace it.
CHANGES TO TERMS AND CONDITIONS
We may from time to time change these Terms and Conditions without giving you notice, but we will use our reasonable endeavours to inform You as soon as is reasonably possible of any such change.
AND FINALLY....
If, despite all our best efforts, you have reason to be unhappy or anything doesn’t work then please first talk to us so we can fix the problem. We will bend over backwards to remedy the situation. But if you don’t follow this simple procedure there will be no offers of refunds or compensation. We want you to have a lovely, relaxing holiday and we welcome the opportunity to put things right, if need
be, during your stay.
